Draft for legal review. These four policy pages are written in plain English to match the forms, payments and tracking in the build brief. Have them checked by a lawyer before launch, and confirm Konnichiwa Japan Club’s legal entity name and address.

3. Why we use your data
- To process and manage your registration, application, membership or payment.

We process your personal data on the basis of the consent you give by ticking the consent box on our forms, and for the legitimate uses permitted by the DPDP Act. You can withdraw consent at any time by emailing info@konnichiwajapan.in or by clicking “unsubscribe” in any email. Withdrawing consent does not affect processing that has already taken place.
5. Children
If a participant is under 18, we collect their data only with the verifiable consent of a parent or legal guardian, and we use it only to manage their participation. We do not track children for advertising or send them marketing.
6. Who we share data with
We share data only with service providers who help us run the website and festival, under contract and only for that purpose: website hosting, Mailchimp (email), Razorpay (payments), Google Analytics and Microsoft Clarity (analytics, with consent), Cloudflare (security) and our festival operations team. 7. Photos and video at the festival
Konnichiwa Japan Festival is photographed and filmed, and images may be used on our website and social media to promote the festival. Cosplayers and artists agree to this when they register. If you would like a photo of yourself removed, email info@konnichiwajapan.in and we will take it down.
8. How long we keep data
We keep registration data for up to 3 years so we can invite you to future festivals, unless you ask us to delete it sooner. Payment and invoice records are kept for as long as tax law requires. Analytics data is kept for up to 14 months.
9. Your rights
Under the DPDP Act, you can ask us to give you a summary of your personal data, correct or update it, erase it, withdraw your consent, or nominate someone to act on your behalf. Email info@konnichiwajapan.in and we will respond within [30] days.
